Integrations

Connect documents with the systems your team already uses.

An integration helps information move between OpenKM and another application without relying on repeated downloads, uploads, or manual re-entry. The right approach depends on the systems involved and what the business process needs to accomplish.

Core capabilities

Choose the connection that fits the job.

APIs

Use available application interfaces to exchange documents, metadata, status information, or approved actions.

Shared folders

Bring files into a controlled repository from monitored locations when this approach fits the process.

Email capture

File messages and attachments with the business information needed to find and manage them later.

Business applications

Link documents with ERP, CRM, accounting, case-management, or other line-of-business systems after technical validation.

Identity and access

Evaluate sign-in and user-management requirements where the selected plan, environment, and identity provider allow it.

Custom connections

Address a specialized requirement when standard methods do not cover the needed process.

Practical applications

Common reasons to connect OpenKM with another system.

Invoices and purchasing

Receive an invoice, retain the supporting file, and pass approved information to the appropriate financial process.

Customer and case files

Give authorized users access to related documents from the application where they manage the customer, matter, or request.

Document intake

Collect files from email, folders, scanners, forms, or another source and add consistent information during capture.

Before development begins

Start with the handoff that creates the most value.

Define the exchange

Identify what must move, in which direction, how often, and what should happen when something fails.

Confirm access

Review APIs, documentation, versions, authentication, security restrictions, sample data, and responsible technical contacts.

Validate a focused scope

Test the most important path first, agree on acceptance criteria, and expand only after the result is proven.

Scope note: Integrations are not automatically included with a SaaS subscription. Discovery, technical analysis, configuration, development, testing, documentation, deployment, project management, and support for a connection are professional services unless expressly included in an approved proposal. Compatibility, effort, pricing, and timing can be confirmed only after OpenKM reviews the systems, versions, access, security, data, and required process.

Frequently asked questions

Important details before you choose a plan.

Does OpenKM connect with every ERP or CRM?

No automatic compatibility should be assumed. The available APIs, product versions, licensing, security model, data requirements, and business process must be reviewed before confirming an approach.

Can an integration be included in a fixed-price proposal?

Potentially, after enough discovery has been completed to define the responsibilities, deliverables, assumptions, acceptance criteria, and exclusions. Early technical analysis may be scoped separately.

Who provides access to the other system?

The customer normally provides appropriate documentation, test access, credentials through an approved secure method, sample data, licenses, and a knowledgeable contact for the other application.

What happens when one system is unavailable?

Error handling, retries, alerts, reconciliation, and support responsibilities should be defined as part of the integration design rather than assumed.
